The Challenge

Legal teams spent considerable time manually copying call notes, transcripts, and AI-generated summaries from Quo into their legal management software. Without an automated synchronization pipeline, critical client conversation details risked being delayed, misplaced, or unlinked from active legal matters, creating record-keeping blind spots across the firm.

What We Did

We engineered a dynamic Make.com scenario that captures call data from Quo and intelligently maps it into PracticePanther based on client and matter hierarchy.

Quo Call Summary Trigger: Listens for newly completed call summaries and transcripts in Quo as soon as a phone interaction finishes. Contact & Matter Lookup Engine: Queries PracticePanther to find and retrieve matching contact records and open legal matters associated with the caller. Conditional Route Filtering: Evaluates incoming data payloads through a router to determine whether an active matter exists or if the record should attach directly at the contact level. Automated PracticePanther Note Creation: Generates fully formatted notes containing the call transcript and summary under the corresponding PracticePanther record.

The Result

Eliminated manual data entry and note transferring after client calls, ensuring 100% of phone transcripts and AI summaries are logged in seconds. Case files remain automatically updated in real time, giving legal teams instant access to complete conversation histories.
