The law firm relied on manual administrative steps to notify clients about active payment plans and handle retainer execution. Staff had to manually cross-reference case notes, locate matching client matters and contact details, generate e-signature documents, and draft payment instructions via email. This fragmented process resulted in delayed contract execution, administrative bottlenecks, and inconsistent communication with clients initiating new legal plans.

What We Did

We engineered a multi-step Zapier workflow to bridge PracticePanther legal management software with Zoho Mail and custom script logic.

Trigger & Conditional Filtering: Captures new notes in PracticePanther in real time and filters for specific payment plan criteria to prevent unnecessary execution. Matter & Contact Lookup: Automatically locates and correlates the specific PracticePanther Matter and associated Contact details tied to the record. Automated E-Sign Document Dispatch: Triggers the automatic generation and delivery of e-signature agreement forms directly within PracticePanther. Custom JavaScript Logic: Runs custom code within Zapier to parse dynamic payload data and prepare tailored installment details. Zoho Mail Integration: Formats and sends a personalized payment plan email directly to the client’s inbox to notify them of their active plan.

The Result

Eliminated manual data entry and email drafting for incoming payment plans, reducing processing time from hours to minutes. Client onboarding now occurs seamlessly in real time with instant e-sign delivery and reliable email confirmation.
