Automated Event-Driven Email Notification Engine via Webhooks

Handling transactional status updates manually leads to delayed notifications and missed customer touchpoints. By building a custom Webhook listener connected to a multi-path router in Make.com, incoming system events are dynamically filtered and mapped directly to dedicated Zoho Mail actions.

The Challenge

System status updates and customer lifecycle events (such as link creation, payment status changes, and plan updates) lacked an automated outbound communication channel. Without an event-driven notification bridge, tracking these triggers and delivering timely status updates required manual monitoring or custom backend email logic, creating delays in client messaging.

What We Did

We engineered an event-driven automation scenario in Make.com utilizing webhooks, conditional routing, and integrated mail modules.

Custom Webhook Listener: Captures incoming event payloads in real time from the primary application platform as transactions occur. Multi-Branch Router & Conditional Filters: Evaluates the incoming event type (such as link_created, payment_paid, payment_failed, plan_paused, or plan_completed) and routes the execution path through isolated filter rules. Dynamic Zoho Mail Dispatch: Formats and sends tailored transactional email notifications directly through Zoho Mail based on the exact path matched by the router.

The Result

Eliminated manual intervention for transaction status alerts, shifting communication to instant, real-time messaging. System status updates now dispatch automatically within seconds of payload reception, ensuring consistent email delivery across all event types.
