Law firms communicating with clients via SMS struggled to maintain complete conversation records within their central practice management software. By deploying a scheduled Make.com workflow, incoming and outgoing text exchanges in Quo are automatically identified, matched, and created as formatted notes under the corresponding PracticePanther matter or contact.
Legal teams conducting client communication over SMS via Quo lacked an automated way to log text exchanges back to central case files. Staff had to manually copy and paste message histories into PracticePanther, creating significant administrative overhead and risking incomplete client communication records across active legal matters.
We engineered an automated sync scenario in Make.com that systematically polls for SMS exchanges in Quo and archives them directly within PracticePanther.
Quo Text Search Poller: Runs on a recurring 15-minute schedule to search for recent inbound and outbound SMS messages exchanged between the firm and clients. Contact & Matter Cross-Referencing: Queries PracticePanther to retrieve and match client phone numbers to existing contact records and active legal matters. Conditional Route Filtering: Evaluates through a router whether a matching legal matter exists, dynamically determining whether to log the text history to a specific matter or directly to the primary contact profile. Automated Note Archiving: Creates structured PracticePanther notes containing the complete text message content, timestamps, and participant details.
Eliminated manual copying of text communications, creating a hands-free record-keeping process. Legal teams now have an up-to-date, centralized audit trail of all SMS client interactions directly inside PracticePanther without lifting a finger.
